Who we are
This policy describes how Perpetuity Software Ltd (“Perpetuity”, “we”, “us”) collects and uses personal information when you visit our website, buy a licence, or use one of our apps.
For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), we are the data controller for the information described below.
What we collect
We try to collect as little as possible. In practice, that’s:
- Account information — your name, email address, and a hashed password if you create an account to manage your licences.
- Purchase information — order details, the apps you bought, and the licence keys issued to you. Card numbers never touch our servers; our payment provider handles them.
- Licence activations — when you activate an app, we log the date and a short device fingerprint so we can enforce reasonable activation limits and help you when you change machines.
- Support correspondence — anything you write to us, plus diagnostic logs you choose to attach.
- Website telemetry — basic, aggregated visit counts. See the Cookies & Analytics section below.
Note
We do not collect your photos, videos, documents, search queries, edit history, or anything you do inside the app. Those live on your machine.
Why we collect it
Under UK GDPR we have to tell you the lawful basis for each thing we do. Here’s the plain version:
- Contract — we need your email and order details to actually sell you the software and deliver the licence key.
- Legitimate interests — we keep minimal activation logs to prevent fraud and licence abuse, and we keep support tickets so we can answer follow-ups.
- Legal obligation — we have to keep invoices for tax purposes (HMRC requires six years).
- Consent — we only send marketing emails if you tick a box, and you can untick it any time.
Local-first means local
Our apps are designed to work without an internet connection after activation. Face detection, video analysis, keyword tagging — all of it runs on your device. Nothing is uploaded to us.
The only times an app reaches out to our servers are:
- The first time you activate a licence key, and roughly once every 30 days afterwards to keep it valid.
- When you check for an update.
- When you opt in to send a diagnostic report from inside the app.
None of these calls include your content, file names, or library contents.
Third parties
We use a small set of service providers. They process data on our behalf, under contract, and only for the purpose listed:
- Stripe — payment processing. Card numbers never touch our servers.
- ChemiCloud — web hosting. Your data is stored on servers they operate on our behalf.
We do not share your information with advertisers, data brokers, or anyone else for marketing.
How long we keep things
- Account data — for as long as your account is active, plus 12 months after you ask us to close it (in case you change your mind and want your licences back).
- Invoices — 6 years, as required by HMRC.
- Support tickets — 2 years after the last message in the thread.
- Activation logs — rolling 12-month window.
Your rights
You have the right to:
- See what we hold about you.
- Correct anything that’s wrong.
- Ask us to delete it (within the limits above — we can’t delete the invoice HMRC requires us to keep).
- Take your data with you in a portable format.
- Object to anything we do on the basis of legitimate interests.
- Complain to the Information Commissioner’s Office (ico.org.uk) if you think we’ve handled something badly.
To exercise any of these, email support@perpetuityhq.com. We’ll reply within 30 days, usually faster.
Cookies & analytics
Our website uses essential cookies only — to remember your cart contents and keep you logged in. We don’t use advertising cookies, tracking pixels, or third-party analytics that follow you around the web.
You won’t see a cookie banner because there’s nothing here that requires your consent.
Changes to this policy
If we make a meaningful change — for instance, adding a new sub-processor or changing what we collect — we’ll update the effective date at the top and email anyone with an active account at least 14 days before it takes effect.
Cosmetic changes (rewording for clarity, fixing typos) we’ll just publish without fanfare.
